Taking part in departmental projects and committees and assisting with low-risk task such as research, statistical reporting, information requests, and clerical duties like correspondence preparation, visitor reception, conference call arrangement, and meeting scheduling.
Serve as document custodian for all inbound and outbound communication. May also train and supervise junior clerical staff
Support the effectiveness of executives by providing management support and information, and acting as their representative to others
Maintain work schedules and procedures and monitor the daily work of junior clerical staff. Train them on work methods, systems and procedures. Review their work to ensure correct spelling and grammar, compliance with company policies and formats and suggest revisions
Manages the flow of goods and items (e.g, food, office supplies) and arrange for office equipment repair and maintenance
Order and distribute supplies, receive, store and track inventory of the office items and handle mail and packages
Answer phones, take messages and provide information to callers or transfer call to the appropriate person.
Plan and coordinate meetings, conferences, and travel for office personnel
Fill out forms in accordance with company procedures
Compos, type and distribute meeting notes, routines correspondence and reports
Greet visitors and callers, handle their inquiries and direct them to the appropriate person
Attach files to incoming correspondence needing replies
Mail newsletters, promotional material and other information
Make copies of correspondence and printed materials
Open, read, route and distribute incoming mail and other materials and draft responses to routine letters.
Schedule and confirm appointments for clients, customers or supervisors
Take dictation and transcribe information
Handle cash account and keep records of collections and disbursement.
Search for required information, using source like the internet
coordinate conferences and meetings
Adapt to new office technologies as they are introduced
Operate electronic mail systems and facilitate information exchange within the outside the organization
Prepare and mail checks
Provide customer services such as order placement and account information
Requirements
Management of office administration and correspondence
Control of office supplies and expenses
Maintenance of the reporting and meeting schedule
Candidates should have a minimum of 2 years of experience in secretarial administration or similar job roles
